The table explains why two machines that both “fill bottles” may require very different engineering and acceptance work. It does not provide prices; it identifies the information needed for a comparable quotation.

Separate the base duty, risk controls and options

A low headline figure can become expensive when assumed functions are added later. A higher figure may include integration, trials or documentation that another proposal excludes.

Ask every supplier to return the same schedule

  • Included products, doses, containers and closures, with any combinations excluded or unverified.
  • Dosing principle, number of heads, product-feed boundary and basis of the quoted production rate.
  • Change parts, recipes, cleaning method, operator tasks and estimated format-change sequence.
  • Included conveyors, guards, controls, sensors, coding, inspection and downstream interfaces.
  • Utilities and site services required at the stated connection points.
  • Trial, FAT, SAT, installation, commissioning, training, manuals and spare-parts scope.
  • Assumptions that must be confirmed before design release and the commercial treatment of later changes.

Use three cost categories

Essential scope is required for the agreed duty. Risk-reduction scope closes uncertainty through trials, alternative product-contact parts, additional detection or recovery. Optional scope improves convenience, future expansion or data collection. Keeping these categories visible prevents value engineering from removing a necessary function.

Request a quotation that can be technically compared

Can an automatic filling machine be priced accurately from a product name?

Usually not. The same product name can cover different viscosity, temperature, particles, foaming, corrosivity and cleaning requirements. The quotation needs the real product conditions and pack range.

Why can two quotations for similar-looking fillers differ substantially?

They may include different product-feed systems, nozzle control, head count, guarding, controls, change parts, documentation, trials, installation, interfaces and acceptance scope. Compare exclusions and assumptions as carefully as the machine description.

Does adding more filling heads always reduce cost per container?

More heads can increase potential throughput, but also increase product distribution, cleaning, tooling, controls and validation scope. The complete line must use the added capacity.

How should budget be discussed before the final specification exists?

State the business case and scope boundary, then ask for separately identified essential, risk-reduction and optional items. This makes value engineering possible without silently removing required functions.
